Better Expense Management - built in, not 3rd party

KashFlow needs to have better functionality for recording expenses which is built in, not farmed off to a third party as this is an essential part of business accounting. In my opinion this should integrate with KashFlow payroll and be able to cater for receipt management and submission (with optical character recognition) as well as business mileage and travel expenses.

It should have the ability to record expenses as company expenses (where you paid for something on a company card, and want to submit receipts) as well as personal expenses which you paid for yourself and need reimbursing for.

There should be an approval flow so once expenses are entered they can be approved by an authorised person. Company expenses can then be brought in and logged against transactions (so there are copies of receipts alongside credit card bills etc) and for personal expenses, once approved the amount should be automatically logged in Payroll system for easy reimbursement.

    Hi Aaron, This sort of functionality is not on our road map at the moment unfortunately. To build our own expense management system that matched the current functionality of Receipt Bank for example would be a mammoth task and distract from delivering features that are not currently available. Deeper integration with KashFlow Payroll is a future area of focus but again this is not a priority for us at this time.

    Receipt back for what we need would cost £20 extra a month for functionality we do not need.

    All that is needed is a better way to manage expenses within KashFlow. The optical character recognition is a nice to have but not essential.

    But really there should be a part of KashFlow payroll that integrates expenses and the employees can record them in a much easier way and get paid more easily.

    It's so odd that you are just rolling out important functionality to expensive 3rd party apps.

    Perhaps you should take a look at Xero and try to actually build awesome functionality into your own product...

    Hi Aaron,

    OCR technology is not something that we are looking to investigate as we believe it will be obsolete within the next five years. Development of such functionality into KashFlow would require back office input and would not provide anything near the abilities currently delivered with our 3rd party integrations. Xero themselves use Receipt Bank also and champion its functionality so you will not find this sort of functionality within their system also.

    I know that when you signed up with KashFlow you did also look at Xero as an option but found our functionality outweighed that of Xero. We believe that our functionality is just as awesome and that providing customers with a range of different integrations offers instant benefit instead of delaying the delivery of such functionality.

    Which is why compared with the likess of FreeAgent etc your product is not compelling as a small business accounting solution.
